Personal Data Processing Policy

Version dated 9 October 2026. Applies to tranzfixchemical.ae and all of its pages.

01General provisions

1.1

This policy sets out how TRANZFIX CHEMICAL TRADING L.L.C. (the “Company”, “we”, “us”) collects, uses, stores, discloses and protects the personal data of visitors to tranzfixchemical.ae (the “Website”).

1.2

This policy has been prepared in accordance with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and other applicable regulations.

1.3

By submitting data through the Website's forms, you confirm that you have read this policy and consent to the processing of your data on the terms described in it. If you do not agree with this policy, please do not submit any data to us through the Website.

1.4

This policy applies only to the Website. Third-party websites linked from the Website are governed by their own policies, and the Company is not responsible for them.

02Definitions

2.1

Personal data means any information that directly or indirectly identifies a natural person, such as a name, contact details, job title or employer details.

2.2

Processing means any operation performed on personal data, including collection, recording, storage, rectification, use, disclosure, anonymisation, restriction, erasure and destruction.

2.3

User means any person who visits the Website or submits data through its forms, including on behalf of a company.

03What data we process

3.1

Data you provide in the “Request a quote”, “I'm a supplier”, “Question” and “Request sourcing” forms:

first and last name;
company name;
email address and phone number;
request details: products required or offered, volume, frequency, delivery basis, destination country and message text;
the list of items added to “My request”.

3.2

Technical data sent by your browser when you visit the Website: IP address, browser and device type, and the date and time of access. This is logged by the server hosting the Website.

3.3

We do not request or process special categories of data, such as health data, religious or political beliefs, or biometric data. Please do not include such information in your messages.

3.4

The Website is intended for business use and is not directed at persons under 18. We do not knowingly collect their data.

04Purposes of processing

4.1

We process data in order to:

respond to your request and prepare a quotation;
review offers from suppliers and manufacturers;
enter into and perform supply contracts, including logistics, customs clearance and shipment documents;
conduct business correspondence about a request or transaction;
comply with legal requirements, including accounting and export control obligations;
ensure the operation and security of the Website.

4.2

We do not use your data for marketing communications without your separate consent, and we do not sell it to third parties.

05Legal bases

5.1

We process data on the following legal bases:

your consent, given by ticking the relevant box in the form;
the need to enter into and perform a contract to which you, or the company you represent, are a party;
compliance with the Company's legal obligations under UAE law;
the Company's legitimate interest in conducting business correspondence and protecting the Website, provided this does not override your rights.

5.2

You may withdraw your consent at any time (see section 11). Withdrawal does not affect the lawfulness of processing carried out before it.

06How we process data

6.1

Data submitted through the forms is received by the Company's staff responsible for handling requests and is stored in our corporate email and customer relationship management (CRM) system.

6.2

Access to data is limited to staff who need it to perform their duties. All staff are bound by confidentiality obligations.

6.3

We do not make decisions that have legal effects for you based solely on automated processing.

07Disclosure to third parties

7.1

We share data with third parties only to the extent necessary for the purposes set out in section 4:

service providers that support the Company's operations: website hosting, email, CRM and data storage;
manufacturers, carriers, freight forwarders, customs brokers, insurers and banks, where necessary to prepare a quotation or fulfil a delivery;
professional advisers, such as lawyers and auditors;
public authorities, where required by law.

7.2

Recipients are required to keep the data confidential and protect it to a standard no lower than that set out in this policy.

08International transfers

8.1

The Company works with partners in the Middle East, Turkey, Central Asia and Eurasia, India, Asia, Africa and Brazil. Data may therefore be transferred outside the UAE, for example to a manufacturer or carrier in the country of shipment.

8.2

Such transfers are made in accordance with UAE law: to countries with an adequate level of data protection, under data protection agreements, or with your consent.

09Retention periods

9.1

Data relating to a request that did not result in a transaction is kept for no longer than 3 years from the date of your last contact.

9.2

Data relating to concluded contracts is kept for the term of the contract and thereafter for the period required by UAE law for retaining business and accounting records.

9.3

When the retention period expires or consent is withdrawn, data is deleted or anonymised, unless the law requires us to keep it longer.

10Data security

10.1

We apply organisational and technical security measures, including encrypted connections to the Website (HTTPS), access controls, protection of staff accounts and data backups.

10.2

In the event of a data breach that may affect your rights, we will notify you and the competent UAE authority in the manner and within the time limits set by law.

11Your rights

11.1

You have the right to:

find out whether we process your data and obtain a copy of it;
have inaccurate or incomplete data corrected;
have your data erased where it is no longer needed for the purposes of processing;
restrict or object to processing;
receive your data in a structured format for transfer to another party;
withdraw your consent to processing;
lodge a complaint with the UAE Data Office.

11.2

To exercise your rights, write to info@tranzfixchemical.ae with the subject line “Personal data”. We will respond within 30 days. To protect your data, we may ask you to verify your identity.

12Browser storage and third-party services

12.1

The Website does not use advertising or analytics cookies.

12.2

Your “My request” list and chosen catalogue view are saved in your browser's storage (localStorage) on your device only and are not sent to the Company unless you submit a form. You can clear them in your browser settings.

12.3

The Website uses Google Fonts to display fonts and loads a smooth-scrolling library from unpkg.com. In doing so, your browser sends your IP address to these services; their processing is governed by the respective providers' policies.

13Changes to this policy

13.1

The Company may update this policy. A new version takes effect when it is published on this page; the version date is shown at the top.

13.2

If we make material changes affecting data already collected, we will also notify the users we are in correspondence with.
